Bonus plan

Written by Christophe Querton

The Bonus plan gives your employees the possibility to convert their bonus into benefits - following the same logic as converting the year-end bonus via the Cafeteria plan. Rather than paying out a bonus in pure cash, you credit a wallet that your employees then use to access services or recover the net amount on their payslip. 👉 For the initial configuration of the plan: Create your first Bonus plan

💰 How to load the wallet? (Budget IN)

The employer credits the wallet manually, individually or in bulk, when objectives are met. Amount to credit: The wallet is funded with the total employer cost, i.e. the gross amount of the bonus + the corresponding employer NSSO contribution. ℹ️ Each load is added to the employee's annual gross salary for the compliance check. RewardFlex automatically verifies that the total amount does not exceed the legal limit of 20% of the annual gross salary.

How to carry out a load:

1️⃣ Go to your Budgets tab and select your bonus plan.

2️⃣ In Actions, click Assign bonuses.

3️⃣ Select and enter the bonus amount for one or more employees.

4️⃣ Confirm - a summary with the total amount is displayed before confirmation.

💰 What employees can do with their budget (Budget OUT)

Employees have two options for using their Bonus plan:

1. Spend via services

The same services as the Cafeteria plan are available, with the exception of the recurring ones:

  • 💻 IT equipment (mobile phone, tablet…)

  • 🌴 Extra-legal leave days

  • 🏦 Individual pension savings (3rd pillar)

  • 📈 Warrants

  • 🚘 Home charging station

2. Cash-out

The employee chooses an amount to recover in cash. This amount is included in the next payroll export and is taxed as a standard bonus.

How can they submit a cash-out request?

1️⃣ The employee goes to their Services tab.

2️⃣ They click on « Convert to net » and enter the desired amount.

3️⃣ The request arrives in your employer interface - you can approve or reject it.

4️⃣ Once approved, the amount is included in the next payroll export for processing via the payslip.

📊 Plan life cycle

Unlike the cafeteria plan, the bonus plan has no annual closing date: it does not close in December to restart in January. The plan stays continuously active, as long as the employee is in service and the employer maintains the service. In case of employee departure: the remaining balance in the wallet must be settled (cash-out and/or use of services according to the employer's decision).
