Switch an employee's budget plan - Switch Plan

📝 What is this about?

The Switch Plan allows you to move an employee from an active budget plan to another plan of the same type, without having to deactivate them and reintegrate them from scratch. This is the action to use when an employee changes function, seniority or benefits, and their budget configuration must evolve accordingly. ℹ️ Current availability: the Switch Plan is currently available for mobility budgets only. The cafeteria plan switch is planned for an upcoming version.


🔄 When to use the Switch Plan?

  • An employee is promoted and their TCO (Total Cost of Ownership) changes.

  • The company restructures its mobility plans and the employees must be redistributed.

  • A role change implies a different monthly amount. In all these cases, rather than deactivating the employee and reintegrating them from the beginning, it is enough to switch them to the corresponding plan.


🔄 How to perform a Switch Plan?

The switch is accessible from the Employees tab.


👥 1️⃣ Access the employee's profile

From the list of employees, open the profile of the relevant employee and go to the Budget tab. This tab now displays all budgets in table form - one line per budget type - with the name and type of plan, the annual and monthly amounts, the start date, the current status and the available actions. In the Mobility Budget line, click Switch plan.


📝 2️⃣ Select the new plan

A list of the available mobility plans is displayed. Only the active plans of the company are proposed - the employee's current plan is excluded to avoid any confusion. If no eligible plan is available, a message informs you.


✅ 3️⃣ Check the summary

A summary screen is displayed with:

  • The name of the employee

  • The current plan and its monthly budget

  • The new plan and its monthly budget (with recalculation of the variable component if applicable)

  • The effective date of the switch

    ℹ️ The effective date is always set to the 1st of the following calendar month. It is set automatically and cannot be modified.


📝 4️⃣ Confirm

Confirm the switch. The system then automatically performs the following actions:

  • Recording of the plan change, effective on the 1st of the following month.

  • Regeneration of the employee's policies to reflect the new plan.

  • Sending of a notification email to the employee. ✅ The employee's wallet history (expenses and loads) is fully preserved during the switch.


📌 Rules to remember

  • The effective date is always the 1st of the following month, without exception.

  • Only the active mobility plans of the same company are selectable.

  • The employee's current plan is not proposed in the list.

  • The documents are automatically regenerated after confirmation.

  • The employee receives a confirmation email after the switch.

  • The wallet history is preserved - no data is lost.
