Add an employee

This fact sheet explains the different methods for adding a new employee in RewardFlex, depending on your situation. There are 3 ways to add an employee in the platform.


➕ Method 1: Add an employee manually

This method is recommended if you are adding a single employee.

1️⃣ Log in to your RewardFlex platform.

2️⃣ Go to the Employees tab.

3️⃣ Click "Add a new employee".

4️⃣ Complete all the required information:

  • personal data

  • salary data (e.g. monthly/annual gross)

    5️⃣ Save. 👉 The employee is immediately created in RewardFlex.


👥 Method 2: Import multiple employees via an Excel file

This method is recommended if you need to add multiple employees at the same time.

⚙️ Step 1 – Download the file template

1️⃣ Log in to your employer platform.

2️⃣ Go to the list of your employees.

3️⃣ Click the small yellow arrow.

4️⃣ Select "Download the file template".

5️⃣ Complete the Excel file with all the requested information. 💡 You can also use this method to update the employees' data. Please note, updating the annual and monthly gross in this tab does not adapt the amounts of the mobility budget and cafeteria plan budget. To modify these amounts, consult the following fact sheets:


⚙️ Step 2 – Import the completed file

1️⃣ Return to the list of employees.

2️⃣ Click the orange arrow again.

3️⃣ Select "Import a file".

4️⃣ Upload your completed Excel file.

👉 The employees are automatically created in RewardFlex after processing the file.


👥 Method 3: Employee already existing at Monizze

It is possible that an employee already exists in your general Monizze database (for example for meal vouchers). In that case:

  • the employee appears automatically in RewardFlex,

  • their basic administrative data is already completed. 👉 You therefore do not need to recreate them manually. You just need to:

  • check the existing information,

  • complete the missing data (e.g. monthly gross, annual gross, etc.).


➕ Managing creation errors

If you receive an error message when creating an employee:

1️⃣ In the Intercom chatbot, communicate the following information to unblock the situation:

  • the error message

  • first name and surname of the employee

  • NISS number 2️⃣ Once the situation is resolved, you will be able to create or complete the employee in RewardFlex.
