The Warrants service in RewardFlex allows your employees to convert part of their bonus into warrants via their cafeteria plan.
As an employer, you are responsible for activating the service, configuring the settings and closing each conversion period.
⚙️ Activating and configuring the service
1️⃣ Activate the service
Log in to the RewardFlex employer interface and activate the Warrants service for one or more employee groups.
2️⃣ Configure the settings
Once activated, you can define the following settings:
Setting | Description |
Minimum conversion amount | Optional Defines the minimum amount an employee can allocate. |
Platform cost percentage | Optional Percentage applied to each employee conversion. |
Closing date | Mandatory to allow employees to convert their funds. |
⚠️ Important: If no closing date is set, the « Convert » button will be greyed out for all employees and no request can be submitted.
📅 Closing the period
Manual closing
When you click on Close the period & generate the export:
All employee bookings are automatically marked as spent.
The closing date is reset (no date set).
The « Convert » button becomes greyed out for all employees until the next activation or definition of a new period.
Automatic closing
If the set closing date has passed, the effect is identical: employees can no longer create or modify a request.
🛑 Cancel the Warrants plan
You can cancel the Warrants plan at any time via the Cancel the Warrants plan button in the admin interface.
Process:
Click on Cancel the Warrants plan.
A confirmation window appears — validate the action.
Once confirmed:
All amounts reserved by the employees are credited back to their cafeteria wallet.
All affected employees receive an email notification confirming the cancellation.
📊 Data export
At the closing of the period, you can download the Excel export directly from the RewardFlex interface. This export contains all the information relating to the conversions of the period.
✉️ Automatic notifications
Employer notifications
You automatically receive:
A reminder a few days before the closing date.
A notification on the day of closing, summarising:
The number of participating employees.
The total amount reserved.
A reminder to close and export the data.
Employee notifications
Employees receive an automatic email in the following cases:
New booking created.
Booking modified.
Cancellation of the plan (if initiated by the employer).
Each notification includes:

✔️ the date
✔️ the next steps
📌 Key points to remember
The closing date is mandatory to open the conversion period to employees.
Once the date has passed or the period has been closed manually, no modification is possible on the employee side.
Cancelling the plan automatically credits back the employees' wallets.
The Excel export is available as soon as the period closes.
