The Bike leasing service allows your employees to finance a bike via their mobility or cafeteria budget.
The leasing contract is concluded between you and an external provider. RewardFlex only facilitates the monthly budget deduction on the employee side.
This is a non-integrated service: the management of the leasing contract takes place outside the platform.
ℹ️ Legal condition:
The bike must be used at least 10% of the time for the employee's home-to-work commutes. This is a condition to benefit from the favourable tax treatment.
🔛 Activation of the service
Activate the Bike leasing service for one or several plans from your employer interface.
Once activated, eligible employees will see the Bike option appear in the Services tab.
✅ Validation of a leasing request
When an employee submits a leasing request, you receive a notification and the request appears in your Recurring Payment interface under the status Pending.
You can consult:
The monthly amount of the requested leasing
The start and end dates of the contract
The leasing contract uploaded by the employee
The declaration on honour relating to the home-to-work use
Once the request is approved, the monthly amount is automatically deducted from the employee's budget each month. You then manage the order and the payment directly with the leasing company, outside RewardFlex.
⚠️ If the employee's available budget is insufficient to cover the monthly amount on a due date, the reimbursement is limited to the available balance that month.
🛑 Termination of a leasing
You can manage and terminate active leasings from the Recurring payment section of your interface.
1️⃣ Click on the termination option next to the relevant leasing.
2️⃣ A confirmation window appears — confirm the termination and select the desired end date.
3️⃣ A notification is automatically sent to you and the employee, specifying the end date of the leasing. On the selected date, the recurring payments stop automatically and the leasing is no longer deducted from the employee's cafeteria budget.
ℹ️ An employee can also initiate a termination request from their RewardFlex space. You will be notified of it and it will be up to you to finalise the termination with the leasing provider according to your internal procedure.
🛑 End of contract
Before the order or the delivery of the bike:
If the employee leaves the company or exits the cafeteria plan, the order is cancelled and the reserved amount is returned to them via the payroll.
After the order or the delivery of the bike:
The employee can buy back the bike at its residual value from the leasing provider
Or they can return the bike on the last day of the contract. The remaining amounts due (monthly instalments or early termination fees) are at their expense.
