This guide explains the entire Lease a Bike journey, from the activation of the service by the employer to the provision of the bike to the employee.
🔛 Activation of the service (employer side)
1️⃣ You activate the Lease a Bike service from your RewardFlex employer portal.
To do so, you must activate it in the cafeteria plan settings as well as for one or several groups.
2️⃣ Lease a Bike will analyse your request and will come back to you automatically by email with a registration link.
3️⃣ You complete the registration and sign the contract directly on the Lease a Bike platform (via a link sent through Docusign).
👉 Once the contract is signed, no additional configuration is required. Monizze finalises the activation and confirms by email when the service is available for your employees.
🚲 Launching a leasing request (employee side)
1️⃣ The employee logs in to RewardFlex and selects the Bike leasing – Lease a Bike service.
2️⃣ They click on the button to create their Lease a Bike account:
the account is created automatically,
an email from Lease a Bike is sent to validate the email address and finalise the account creation,
after validation, the employee receives a personal usage code.

3️⃣ The employee goes to a Lease a Bike partner dealer, with their code, and chooses:
their bike
their accessories (depending on the available budget)
👉 The bike dealer registers your bike, your accessories and the chosen maintenance package on the Lease a Bike platform. The employee then receives an email notification inviting them to view/accept the contract proposal on the Lease a Bike platform.
✅ Creation and validation of the contract by the employee
📢 Key step - double validation required
The employee must validate the contract twice:
a first time on the Lease a Bike platform,
and a second time in RewardFlex (Monizze).
⚠️ As long as these two validations are not completed, the request does not progress.
✅ 1 validation: Lease a Bike platform
1️⃣ Once the contract proposal is created by the dealer, the employee receives an email from Lease a Bike.
2️⃣ This email invites them to:
log in to the Lease a Bike platform,
view the contract proposal,
accept the contract.
👉 Without this validation on Lease a Bike, the request cannot be forwarded to RewardFlex.
✅ 2 validation: RewardFlex platform (Monizze)
1️⃣ After the acceptance on Lease a Bike, the contract information is automatically sent to RewardFlex.
2️⃣ The employee then sees their request appear in RewardFlex.
3️⃣ They must mandatorily:
open the request,
validate the contract a second time in RewardFlex.
👉 This second validation is essential for the request to be sent to the employer.
✅ Final validation by the employer
1️⃣ After validation by the employee, the contract moves to the status "Awaiting third-party approval".
2️⃣ As an employer, you receive the request in RewardFlex. In the Recurring payments tab, you can:
✅ approve,
❌ reject.
3️⃣ In case of approval:
the employee receives an email with a PIN code,
this code is required for the handover of the bike at the dealer.
🚲 Preparation and handover of the bike
Finalisation at the dealer
1️⃣ The dealer:
completes the billing data (number and date),
validates the billing,
prepares the bike for handover.
2️⃣ The employee collects their bike at the dealer.
3️⃣ The dealer confirms the handover of the bike in the Lease a Bike platform.
💰 Activation of the contract and financing
Once the contract is accepted by the leasing company, the contract becomes active from the 1st day of the following month. From that moment:
On the employee side:
the monthly financing starts automatically,
the amount is deducted from the employee's budget in RewardFlex,
On the employer side: billing is done monthly by Lease a Bike.
