Budget Plans

Practical guide — Creating and managing your benefit plans in RewardFlex

📌 What is it?

Budget plans are the new way to configure and distribute benefits to your workers on RewardFlex. Each plan is linked to a specific benefit type and can be fully customised according to your company's needs.

Three types of plans are available:

  • 🍽️ Cafeteria Plan

  • 🚲 Mobility Budget

  • 🎁 Bonus Plan


🗂️ The plans dashboard

The main screen gives you a complete overview of all your active plans.

Each card shows the plan name, the benefit type, the current plan status, and whether workers have already been invited. If you have several active products, you can filter plans by benefit type.


➕ Creating a plan

Plan creation is done in 3 guided steps.


1️⃣ Plan configuration

Give your plan a name, select the benefit type, and choose the applicable policy framework — the standard Monizze policy or a custom policy.


2️⃣ Plan settings

Configure the plan details: contribution amounts, budget closing dates, specific options (e.g. IT equipment reimbursement, telecom budget…). The form adapts dynamically based on the selected plan type — you only see what is relevant to your configuration.


3️⃣ Service selection

Choose which services and benefits are available within this plan and configure any additional options.


4️⃣ Plan validation

Save or finalise your plan.


👥 Adding workers to a plan

Once the plan is created, adding workers is done in 4 guided steps.


1️⃣ Worker selection

Choose the workers to add to the plan from the list. Only eligible workers (not yet assigned to a plan of the same type) are displayed. A basket selection allows you to keep your choices while navigating between pages.


2️⃣ Compliance check

For each selected worker, complete the required information (budget amounts, mobility variables…). The form highlights missing or invalid data in real time. A bulk import via file is also available.


3️⃣ Define a start date

Select the month from which the budget should start loading.

A key setting allows you to control the loading behaviour:

  • Start after signing (default) — The budget is only activated once the worker has signed the documents. No budget is loaded before signing.

  • Start from the selected month — The budget loads retroactively from the chosen month, regardless of the signing date.

ℹ️ You can edit this setting for all selected workers by clicking Bulk edit.


4️⃣ Summary & launch

A summary screen displays all workers and their configured budgets.

Two options are available:

  • Launch — Budgets are activated, but workers do not yet receive a notification.

  • Launch & send invitations — Budgets are activated and workers immediately receive an invitation email to join the platform.

ℹ️ A confirmation is always requested before any sending.


📬 Invitation management

You retain full control over when your workers are notified:

  • At launch — Invitations are sent immediately upon assignment.

  • Later — You can send invitations individually or in bulk at any time after assignment.

  • Never — You assign workers without sending a notification (useful for internal testing or phased rollouts).


✏️ Editing a plan

You can update a plan's configuration at any time — adjust settings, activate or deactivate services, manage additional options — without impacting existing worker assignments.


🗑️ Deleting a plan

A plan can only be deleted if no workers are currently assigned to it.

If workers are linked to the plan, deletion is blocked and you are notified accordingly.
