Practical Guide – How to Add a New Employee in RewardFlex

This article explains the different methods to add a new employee in RewardFlex, depending on your situation.

There are 3 ways to add an employee to the platform.


🚀 Method 1: Add an employee manually

This method is recommended if you are adding a single employee.

1️⃣ Log in to your RewardFlex platform.

2️⃣ Go to the Employees tab.

3️⃣ Click on “Add a new employee”.

4️⃣ Complete all required information:

  • personal details

  • salary details (e.g. monthly/annual gross salary)

5️⃣ Save.

👉 The employee is immediately created in RewardFlex.


📂 Method 2: Import multiple employees via an Excel file

This method is recommended if you need to add several employees at once.

📥 Step 1 – Download the file template

1️⃣ Log in to your RewardFlex platform.

2️⃣ Go to your employee list.

3️⃣ Click on the small yellow arrow.

4️⃣ Select “Download file template”.

5️⃣ Complete the Excel file with all requested information.

💡 You can also use this method to update employee data.

Please note: updating the annual and monthly gross salary in this tab does not adjust the mobility budget and cafeteria plan budget amounts.


📤 Step 2 – Import the completed file

1️⃣ Return to the employee list.

2️⃣ Click again on the orange arrow.

3️⃣ Select “Import a file”.

4️⃣ Upload your completed Excel file.

👉 The employees are automatically created in RewardFlex after the file has been processed.


🔄 Method 3: Employee already existing at Monizze

It is possible that an employee already exists in your general Monizze database (for example for meal vouchers).

In this case:

  • the employee automatically appears in RewardFlex,

  • their basic administrative data is already completed.

👉 You therefore do not need to recreate the employee manually.

You only need to:

  • verify the existing information,

  • complete the missing data (e.g. monthly gross salary, annual gross salary, etc.).


⚠️ Error Handling During Employee Creation

If you receive an error message while creating an employee:

1️⃣ In the Intercom chatbot, provide the following information to resolve the issue:

  • The error message

  • Employee’s first and last name

  • NISS number (national social identification number)

2️⃣ Once the issue is resolved, you will be able to create or complete the employee record in RewardFlex.
