🚴 What is it?
The Bike Leasing service allows your workers to finance a bike through their mobility or cafeteria budget.
The leasing contract is concluded between you and an external provider. RewardFlex only facilitates the monthly budget deduction on the worker's side.
This is a non-integrated service: the management of the leasing contract takes place outside the platform.
ℹ️ Legal requirement:
The bike must be used for at least 10% of the worker's home-to-workplace commute. This is a condition for benefiting from the favourable tax treatment.
⚙️ Service activation
Activate the Bike Leasing service for one or more plans from your employer interface. Once activated, eligible workers will see the Bike option appear in the Services tab.
🛠️ Validating a leasing request
When a worker submits a leasing request, you receive a notification and the request appears in your Recurring Payment interface under the Pending status.
You can review:
The requested monthly leasing amount
The start and end dates of the contract
The leasing contract uploaded by the worker
The sworn declaration regarding home-to-workplace usage
Once the request is approved, the monthly amount is automatically deducted from the worker's budget each month. You then manage the order and payment directly with the leasing company, outside of RewardFlex.
⚠️ If the worker's available budget is insufficient to cover the monthly amount at a due date, the reimbursement is limited to the balance available that month.
🔄 Terminating a leasing
You can manage and terminate active leasings from the Recurring Payment section of your interface.
1️⃣ Click on the termination option next to the relevant leasing.
2️⃣ A confirmation window appears — confirm the termination and select the desired end date.
3️⃣ A notification is automatically sent to both you and the worker, specifying the leasing end date.
On the selected date, recurring payments stop automatically and the leasing is no longer deducted from the worker's cafeteria budget.
ℹ️ A worker can also initiate a termination request from their RewardFlex space. You will be notified and it will be your responsibility to finalise the termination with the leasing provider according to your internal process.
📦 End of contract
Before the bike is ordered or delivered:
If the worker leaves the company or exits the cafeteria plan, the order is cancelled and the reserved amount is returned to them via payroll.
After the bike is ordered or delivered:
The worker can buy back the bike at its residual value from the leasing provider,
or they can return the bike on the last day of the contract. Any remaining amounts due (monthly instalments or early termination fees) are their responsibility.
