What happens when I launch my Cafetaria Plan Live on RewardFlex?

This article explains the first steps your employees should take once you have completed the setup of your cafetariaplan.

✅ Summary & launch

Before sending the invitations, a summary screen displays all workers and their configured budgets.

Two options are available:

  • Launch — Budgets are activated, but workers do not yet receive a notification.

  • Launch & send invitations — Budgets are activated and workers immediately receive an invitation email to join the platform.

ℹ️ A confirmation is always requested before any sending.


📬 Invitation management

You retain full control over when your workers are notified:

  • At launch — Invitations are sent immediately upon assignment.

  • Later — You can send invitations individually or in bulk at any time after assignment.

  • Never — You assign workers without sending a notification (useful for internal testing or phased rollouts).


📩 What Your Employees Will Receive

Email Invitation

Each employee will automatically receive an email inviting them to create their access to the RewardFlex platform.


Account Creation & Signature (if applicable)

During their first login, the employee will need to:

  • Create their account

  • Sign the policy and the amendment related to their cafeteria plan via ItsMe

👉 This step is mandatory before they can use the platform.


Activation of the Cafeteria Plan Budget

Once the documents are signed, the cafeteria plan budget is activated. The employee can then:

  • Check their available budget

  • Explore the offered benefits

  • Make personalized choices

  • Track and manage their requests online
