Cafetaria Plan Checklist Onboarding RewardFlex

Easily prepare all the information to launch your Cafetaria Plan

🚀 Step 1 — Define your employee groups

✔️ Group your employees according to objective and non-discriminatory criteria:

  • Salary level (Junior, Senior, Management)

  • Job function

  • Seniority

If you are combining a cafeteria plan and a mobility budget, use the same group structure for both.

💡 Why? These groups will serve as the basis for calculating budgets and activating the appropriate services for each category.


🗂️ Step 2 — Collect information for each employee

Prepare the import file with at least the following information:

✅ Employee first and last names
✅ Annual salary (as defined by the law of 12/04/1965)
✅ ...

How to retrieve this import file?

1) Log in to your RewardFlex platform using the credentials received in the launch email and via this link: https://employer.rewardflex.be

2) Go to the list of your employees

3) Click on the small orange arrow

and then select “Download File Template”

4) Gather any missing information in the Excel file

How to upload the import file?

⚠️ This step must be completed before the onboarding session.

Click again on the orange arrow and then select “Import a File”

⚙️ Step 3 — Define your Cafeteria Plan Policy

Two options are possible:

  • Monizze Policy: Sit back and relax by using our own cafeteria plan policy

  • Your Own Policy: Already have a cafeteria plan policy? You can continue to use your existing policy

👉 We strongly recommend using the Monizze Policy, as it ensures the best experience for both you and your employees. The policy and its amendments are signed directly in RewardFlex, which simplifies and streamlines the entire process.

How to access the Monizze Policy?

1) Log in to your RewardFlex platform using the credentials received in the launch email and via this link: https://employer.rewardflex.be

2) Click on the “Cafeteria Plan” icon

3) Then click “Download Monizze Policy”


👉 Step 4 — Determine each employee’s flexible amount

To determine the flexible budget for each employee, gather two pieces of information:

  • % of employer contributions (ONSS) for each group

  • Amount of the year-end bonus

ℹ️ For a plan financed by the year-end bonus, the flexible amount equals the gross year-end bonus plus employer contributions. For help calculating this, consult our info sheet: Finding and Calculating Your Salary Data


🎁 Step 5 — Choose Cafeteria Plan services

✅ Select the desired services for each group:

  • Additional vacation days (define maximum number of days)

  • Laptop, smartphone, tablet

  • Bike leasing

  • Home internet (specify maximum reimbursable amount)

  • Extended medical insurance

  • Individual pension plan


📅 Step 6 — Define the launch month

Indicate the starting month of the Cafeteria Plan for your employees.

⚠️ Important: The budget for an employee only starts on the first day of the month following the employee’s signature of the policy.


✅ Step 7 — Final verification

  • Review all information

  • Check the import files

  • Involve your payroll service for final validation
