IT equipment via Coolblue (employee)

Important: The purchase procedure via Coolblue is only possible if your employer has given you access to the service in RewardFlex. If you do not have the Coolblue option in your portal, you must follow the standard procedure outside Coolblue 👉 IT equipment


❓ What is it?

Thanks to the « IT equipment » service in RewardFlex, you can use your cafeteria budget to acquire:

  • 💻 a computer

  • 📳 a smartphone

  • 📱 a tablet

  • 🎧 IT accessories 👉 The device belongs to your employer for 24 to 36 months (depreciation period).\ 👉 At the end of this period, you can buy it back at its residual value.


🎯 What impact for you?

  • You choose your device from a supplier authorised by your employer.

  • Your employer handles the order and the payment.

  • The total amount is deducted from your cafeteria budget.

  • You can have a maximum of 2 active devices per category (except for IT accessories, which are unlimited)

  • IT accessories are limited to 20% of the value of the main device (computer, phone, tablet)

  • A lump-sum BIK (benefit in kind) is added to your payslip: Device Depreciation Monthly BIK Smartphone 36 months 3 € Tablet 36 months 3 € Laptop 36 months 6 € IT accessories 24 months 0 €


💻 Starting an IT equipment purchase via Coolblue

1️⃣ Log in to RewardFlex and go to the IT equipment purchase section.

2️⃣ Choose the desired product category:

  • smartphone

  • tablet

  • computer

  • accessories

    3️⃣ You are automatically redirected to the Coolblue webshop dedicated to your company. 👉 Only the products authorised by your employer are visible there.


➕ Selection and creation of the order on Coolblue

1️⃣ Select your equipment directly on the Coolblue webshop.

2️⃣ Finalise your order on Coolblue. 👉 At this stage, the order is created with the "draft" status.

3️⃣ Once the draft is completed, you are redirected to RewardFlex. ⚠️ Important: you have 24 hours to validate your order in RewardFlex.


⚙️ Key step – mandatory validation in RewardFlex

⚠️ Very important point: the order is not yet confirmed after Coolblue. You must mandatorily validate it in RewardFlex.

1️⃣ Open your order in RewardFlex.

2️⃣ Check the information displayed:

  • price,

  • remaining budget,

  • device quotas. 3️⃣ You can then:

  • confirm the order,

  • ❌ or cancel it. 👉 Without this validation in RewardFlex, the order will not be forwarded to Coolblue.


🎯 Consequences of your choice

  • If you confirm :

  • the amount is deducted from your cafeteria budget,

  • the order moves to the « confirmed » status.

  • If you cancel :

  • no impact on your budget,

  • the Coolblue order is automatically cancelled.


💻 Processing and delivery of the equipment

1️⃣ After your confirmation, RewardFlex confirms the order with Coolblue.

2️⃣ Coolblue processes the order and organises the delivery directly to your address.


📌 Absolutely keep in mind

✔️ Order the equipment on Coolblue
✔️ Return to RewardFlex to validate the order within 24h 👉 Without validation in RewardFlex, the order does not go through.
