Your employer provides you with the RewardFlex platform, a simple and intuitive tool to manage your mobility budget plan fully autonomously. With RewardFlex, you can:
consult your available budget,
explore the benefits offered,
make your choices according to your needs,
easily track and manage your requests.
1. Getting started with RewardFlex
When a new mobility budget period begins, you receive an invitation email.
Click on the link contained in the email.
Create your credentials and set a password.
On your first login, sign online:
the mobility budget policy,
the addendum to your employment contract.
You can change the language of the document if necessary at the top right. Once these steps are validated, you access your RewardFlex interface to:
visualise your budget,
browse the benefits catalogue,
prepare your choices,
submit your requests to your employer.
2. What is a mobility budget?
The mobility budget lets you exchange your company car or your right to a company car for a mobility budget. You can then split this budget across three pillars, according to the options offered by your employer: 🚗 Pillar 1: An environmentally friendly company car. 🚲 Pillar 2: Sustainable means of transport and housing costs. 🪙 Pillar 3: If you do not fully use your budget in pillars 1 or 2, you can receive the residual amount in cash, reduced by a special contribution of 38.07% payable by you.
3. How does RewardFlex work?
On the platform, you can manage your budget in full transparency:
consult your balance in real time,
visualise the impact of your choices,
upload your supporting documents,
receive your reimbursements via your payslip.
Budget management details
Build-up: your budget is defined by your employer.
Distribution: it is often spread out monthly.
Carry-over: unused amounts are added to the following ones.
Automatic deductions: each chosen benefit directly reduces your balance.
Reimbursements: your validated personal expenses are reimbursed via payroll.
4. Available benefits
Here is the list of the most common benefits accessible on RewardFlex.
Each benefit is presented along 3 axes: What is it?, How does it work? and What impact for the employee?
🚲 Bike (purchase or leasing)
What is it?
You can finance a bike via your mobility budget, either by leasing (long-term rental) or by direct purchase. Use can be professional and private. How does it work?
Leasing: contract concluded by your employer with a provider. The bike remains the employer's property for generally 36 months, with a purchase option possible at the end.
Purchase: the employer buys the bike and makes it available to you. The budget covers the acquisition cost and possibly maintenance. What impact for the employee?
You select your bike via RewardFlex (employer catalogue or supplier).
The employer manages the order and the payment.
The cost is deducted from your budget (monthly for the leasing, in one go for the purchase).
No social security contributions or tax if the bike is used at least partially for your home-to-work commute.
🚗 Public transport
What is it?
You can use your mobility budget for the financing of your subscription or public transport tickets (train, bus, tram, metro). How does it work?

🚗 Soft mobility
What is it?
You can use your mobility budget for the financing of an e-moto or an electric licence-free car. How does it work?

🚗 Shared mobility
What is it?
You can use your mobility budget for the financing of carsharing (Cambio, Poppy…), shared bikes, scooters, taxis, carpooling, etc. How does it work?

🚗 Parking
What is it?
You can use your mobility budget for the reimbursement of your parking costs. How does it work?

🚗 Housing
What is it?
You can use your mobility budget for the financing of your rent or your mortgage, if:
your home is located less than 10km as the crow flies from your workplace, or
you telework more than 50% of the time How does it work?

You upload your supporting documents
Mortgage: bank credit document and residence certificate
Rent: lease contract and residence certificate
This request only needs to be submitted once in your RewardFlex platform. What impact for the employee?

The amount is deducted from your budget

💰 Cash (pillar 3)
What is it?
The part of your mobility budget that you have not used in pillar 1 or 2 will be reimbursed to you in cash once a year. How does it work?
The regularisation is done at the end of the year by your employer What impact for the employee?
Reimbursement via the payslip
The amount is deducted from your budget
A special contribution of 38.07% is due on this amount.
5. How to submit a request?
Log in to RewardFlex via http://my.rewardflex.be
Click on "My services".
Choose the type of benefit.
Complete the required information (amount, period, supporting document).
Click on Submit.
6\)Wait for the employer's validation.
Tracking requests
You can track the status of your expense request in the "Expenses" tab.
🔎 Pending: the employer must still validate. ✅ Validated: the request is approved. ❌ Rejected: you receive an explanation.
💡 Tips:
Group your supporting documents by month to simplify processing.
Always check the limits/caps defined by the employer.
Use the Monizze app to scan your invoices quickly.
