Welcome to RewardFlex 🎉

Your employer provides you with the RewardFlex platform, a simple and intuitive tool to manage your mobility budget independently.

With RewardFlex, you can:

  • Check your available budget

  • Explore the benefits offered

  • Make your choices according to your needs

  • Track and manage your requests easily


1. Getting Started with RewardFlex

When a new mobility budget period begins, you will receive an invitation email.

1) Click the link in the email.

2) Create your credentials and set a password.

3) During your first login, sign online:

  • The mobility budget policy

  • The amendment to your employment contract

You can change the document language if necessary at the top right.

Once these steps are completed, you will access your RewardFlex interface to:

  • View your budget

  • Browse the benefits catalog

  • Prepare your choices

  • Submit requests to your employer


2. What is a Mobility Budget?

The mobility budget allows you to exchange your company car or the right to a company car for a mobility budget.

You can then allocate this budget across three pillars, depending on the options provided by your employer:

🚗 Pillar 1: Environmentally friendly company car

🚲 Pillar 2: Sustainable transport and housing costs

🪙 Pillar 3: Any remaining budget from Pillars 1 or 2 can be received as cash, subject to a 38.07% special contribution


3. How RewardFlex Works

On the platform, you can manage your budget transparently:

  • Check your balance in real time

  • Visualize the impact of your choices

  • Upload your receipts

  • Receive reimbursements via your payroll

Budget management details:

  • Constitution: Your budget is defined by your employer

  • Allocation: Often distributed monthly

  • Accumulation: Unused amounts roll over to the next period

  • Automatic deductions: Each chosen benefit reduces your balance directly

  • Reimbursements: Validated personal expenses are reimbursed via payroll


4. Available Benefits

Here are the most common benefits accessible via RewardFlex. Each benefit is presented with: What is it?, How does it work?, and Impact for the employee.


🚲 Bicycle (purchase or leasing)

What is it?
Finance a bike via your mobility budget, either via leasing (long-term rental) or direct purchase. The bike can be used for work and private purposes.

How does it work?

  • Leasing: Contract arranged by your employer with a provider. The bike usually remains employer property for 36 months, with a possible purchase option at the end.

  • Purchase: Employer buys the bike and provides it to you. Budget covers acquisition and possibly maintenance.

Impact for the employee:

  • Select your bike via RewardFlex (employer catalog or provider)

  • Employer handles ordering and payment

  • Cost is deducted from your budget (monthly for leasing, one-time for purchase)

  • No social security contributions or tax if used at least partially for commuting


🚎 Public Transport

What is it?
Use your mobility budget to finance subscriptions or tickets for public transport (train, bus, tram, metro).

How does it work?

  • Submit a request via RewardFlex

  • Upload your receipts

Impact for the employee:

  • Reimbursed via payroll

  • Amount deducted from your budget

  • No social security contributions or payroll tax


🛵 Soft Mobility

What is it?
Finance an e-motorcycle or an electric microcar.

How does it work?

  • Submit a request via RewardFlex

  • Upload your receipts

Impact for the employee:

  • Reimbursed via payroll

  • Amount deducted from your budget

  • No social security contributions or payroll tax


🚕 Shared Mobility

What is it?
Finance carsharing (Cambio, Poppy…), shared bikes, scooters, taxis, or ridesharing.

How does it work?

  • Submit a request via RewardFlex

  • Upload your receipts

Impact for the employee:

  • Reimbursed via payroll

  • Amount deducted from your budget

  • No social security contributions or payroll tax


🅿️ Parking

What is it?
Use your mobility budget to reimburse parking costs.

How does it work?

  • Submit a request via RewardFlex

  • Upload receipts

Impact for the employee:

  • Reimbursed via payroll

  • Amount deducted from your budget

  • No social security contributions or payroll tax


🏠 Housing

What is it?
Use your mobility budget for rent or mortgage if:

  • Your home is within 10 km straight-line distance from work, or

  • You telework more than 50% of the time

How does it work?

  • Submit a request via RewardFlex

  • Upload receipts

    • Mortgage: bank credit document and residence certificate

    • Rent: lease contract and residence certificate

  • Only needs to be submitted once in RewardFlex

Impact for the employee:

  • Reimbursed via payroll

  • Amount deducted from your budget

  • No social security contributions or payroll tax


🪙 Cash (Pillar 3)

What is it?
Any unused portion of your mobility budget from Pillars 1 or 2 will be reimbursed as cash once a year.

How does it work?

  • Adjustment is done at year-end by your employer

Impact for the employee:

  • Reimbursed via payroll

  • Amount deducted from your budget

  • Subject to 38.07% special contribution


5. How to Submit a Request

1) Log in to RewardFlex via http://my.rewardflex.be

2) Click “My Services”

3) Choose the type of benefit

4) Complete required information (amount, period, receipt)

5) Click on Validate

6) Wait for employer approval


Tracking Requests:

🔎 Pending: Employer validation required

✅ Approved: Request approved

❌ Rejected: You will receive an explanation

💡 Tips:

  • Group receipts by month for easier processing

  • Always check limits set by the employer

  • Use the Monizze app to quickly scan invoices
