Welcome to RewardFlex 🎉

Your employer provides you with the RewardFlex platform, a simple and intuitive tool to manage your cafeteria plan independently.

With RewardFlex, you can:

  • check your available budget,

  • explore the benefits offered,

  • make your selections according to your needs,

  • track and manage your requests easily.


1. Getting Started with RewardFlex

When a new cafeteria plan period begins, you will receive an invitation email.

1) Click on the link in the email.

2) Create your account credentials and set a password.

3) During your first login, sign online :

  • the cafeteria plan policy,

  • the addendum to your employment contract.

Once these steps are completed, you can access your RewardFlex interface to :

  • view your budget,

  • browse the benefits catalog,

  • prepare your selections,

  • submit your requests to your employer.


2. What is a Cafeteria Plan?

A cafeteria plan is a flexible compensation system that allows you to customize part of your salary package.

Specifically, within a framework defined by your employer, you can convert certain elements of your compensation (bonuses, incentives, fringe benefits…) into benefits tailored to your needs: bike, electronics, health insurance, additional leave days, pension savings, etc.

👉 Participation is optional : you can keep your original salary or convert a portion into benefits.


3. How Does RewardFlex Work?

On the platform, you can manage your budget transparently :

  • check your balance in real-time,

  • see the impact of your selections,

  • upload supporting documents,

  • receive reimbursements via your payslip.

Budget Management Details

  • Formation : your budget is defined by your employer.

  • Allocation : it is often distributed monthly.

  • Accumulation : unused amounts roll over to the following months.

  • Automatic deductions : each selected benefit directly reduces your balance.

  • Reimbursements : validated personal expenses are reimbursed via payroll.


4. Available Benefits

Here is a list of the most common benefits accessible via RewardFlex. Each benefit is presented according to 3 axes : What is it ?, How does it work ? and Impact for the employee ?


🚲 Bike (Purchase or Leasing)

What is it ?
You can finance a bike using your cafeteria budget, either through leasing (long-term rental) or direct purchase. The bike can be used for professional and personal purposes.

How does it work ?

  • Leasing : contract arranged by your employer with a provider. The bike generally remains the employer's property for 36 months, with a purchase option at the end.

  • Purchase : the employer buys the bike and makes it available to you. The budget covers the acquisition cost and possibly maintenance.

Impact for the employee ?

  • Select your bike via RewardFlex (employer or supplier catalog).

  • The employer handles the order and payment.

  • Cost is deducted from your budget (monthly for leasing, once for purchase).

  • No social security contributions or tax if the bike is used at least partially for commuting.


💻 Electronics

What is it ?
You can get a smartphone, tablet, or laptop for mixed use (personal and professional).

How does it work ?

  • The device is provided by the employer and remains their property for 2–3 years (amortization period).

  • At the end, you can buy it at residual value.

Impact for the employee ?

  • Select your device via RewardFlex.

  • Employer orders and pays.

  • Total amount is deducted from your budget.

  • A fixed benefit-in-kind (BIK) is added to your payslip :

    • Smartphone : €3/month

    • Tablet : €3/month

    • Laptop : €6/month


🏝️ Additional Leave Days

What is it ?
You can purchase additional leave days beyond your usual entitlement.

How does it work ?

  • Number of available days is defined by the employer.

  • Price corresponds to one day of salary (wages + employer contributions).

  • Days must be taken within the current year and follow internal planning rules.

Impact for the employee ?

  • Make your selection via RewardFlex.

  • Employer updates your leave balance.

  • Amount is deducted from your budget.

  • Purchased days are subject to social security contributions and taxes.

  • Main advantage : added flexibility.


🩺 Extended Collective Health Insurance

What is it ?
You can extend your existing collective health insurance to your family members (spouse, children…).

How does it work ?

  • Select the option via RewardFlex.

  • Employer manages the extension directly with the insurer.

Impact for the employee ?

  • No personal payment or supporting documents required.

  • Amount is deducted from your budget.

  • No social security contributions.

  • Amount is taxable (withholding tax).


🪙 Reimbursement of Individual Pension Savings

What is it ?
Reimbursement of your personal contributions to an individual pension savings contract (3rd pillar).

How does it work ?

  • Submit a request via RewardFlex.

  • Upload the official tax certificate from your provider.

  • Reimbursement is based on amounts actually paid the previous year.

Impact for the employee ?

  • Reimbursement via payslip.

  • No personal social security contributions.

  • Employer social security contribution of 8.86% applied.

  • Amount considered a taxable benefit (withholding tax).


🛜 Reimbursement of Private Internet Connection

What is it ?
You can be reimbursed for part or all of your private internet subscription, necessary for professional tools.

How does it work ?

  • Submit a request each month via RewardFlex.

  • Upload supporting documents (invoices or provider certificates).

  • Reimbursement may be based on actual cost or an employer-set ceiling.

Impact for the employee ?

  • Reimbursement via payslip.

  • Amount is deducted from your budget.

  • Fixed BIK of €5/month is added.


📈 Conversion into Warrants

What is it ?
Each year, you can convert part of your year-end bonus into warrants (short-term resellable stock options).

How does it work ?

  • Selection is made via a secure digital platform.

  • Monizze has an integrated partnership within RewardFlex.

Impact for the employee ?

  • No social security contributions (neither personal nor employer).

  • Single taxation applied at the time of allocation.

  • Allows a higher net income than a standard bonus.


5. How to Submit a Request ?

1) Log in to RewardFlex via http://my.rewardflex.be

2) Click on “My Services”.

3) Choose the type of benefit.

4) Fill in the required information (amount, period, supporting document).

5) Click Validate.

6) Wait for employer approval.


Tracking Requests

You can monitor your request status in the “Expenses” tab :

🔎 Pending : employer validation required.

Accepted : request has been approved.

Rejected : explanation provided.

💡 Tips :

  • Group your supporting documents by month for easier processing.

  • Always check employer-defined limits/ceilings.

  • Use the Monizze app to quickly scan your invoices.
